Out With the Old: Migrating a Professional Services Firm From Legacy Infrastructure to a Full Microsoft 365 Environment

The Situation
A professional services firm had been running its IT environment on infrastructure that had long since fallen behind the demands of a modern workplace. Active Directory was built on Windows Server 2008 — an end-of-life platform Microsoft stopped supporting years prior, leaving the environment unpatched and increasingly difficult to manage. Email ran through a basic hosted POP/SMTP service: functional in the most minimal sense, but lacking the security, reliability, and integration that professionals handling sensitive client data require.
File storage was scattered across local drives, network shares, and whatever workarounds individual staff had developed. No shared collaboration platform. No unified identity management. No coherent way to work together on documents or coordinate across the business. The environment worked — barely. The decision to migrate to Microsoft 365 was straightforward. The execution required care.
The Challenge

The Approach
Identity Migration: Entra ID
The aging Active Directory environment was replaced with Microsoft Entra ID — Microsoft’s cloud-based identity and access management platform. User accounts, security policies, and access controls were migrated and rebuilt in Entra ID, establishing a modern foundation with multi-factor authentication, conditional access policies, and centralized device management. Server 2008 was decommissioned once Entra ID was verified stable.
Email Migration: Exchange Online
POP/SMTP accounts don’t maintain server-side copies of messages — email lives on local devices. netMethods worked through each user’s local mail store to capture and migrate existing email history into Exchange Online mailboxes, preserving historical correspondence through the transition. Calendaring, contacts, and shared mailboxes were configured alongside individual accounts.
File Storage: SharePoint & OneDrive
Shared files were migrated to SharePoint Online, giving the team a centralized, access-controlled repository. Individual file sync was deployed through OneDrive, replacing the patchwork of local drives and network shares. Folder structures were reorganized during migration to reflect how the team actually worked.
Collaboration: Microsoft Teams
Teams was deployed as the firm’s unified communication and collaboration platform — replacing ad-hoc email threads with a single environment for messaging, meetings, file collaboration, and coordination. Staff were trained on Teams in the context of their actual workflows, with onboarding focused on practical adoption.
The Outcome
The firm emerged from the migration with a unified Microsoft 365 environment that replaced years of accumulated technical debt. Server 2008 was retired. Email moved to a fully managed Exchange Online environment. Files moved to organized SharePoint and OneDrive repositories. The team gained Teams as a collaboration platform that connected communication, files, and meetings in one place — alongside modern identity management, MFA, and the security controls a client-facing professional services firm requires.
